PrimeFlow Groups
Use PrimeFlow groups to organize related nodes, label work areas, resize sections, and keep large canvases easier to understand.
Groups are visual containers for related PrimeFlow nodes. Use them to mark a project phase, client area, research cluster, meeting section, workflow stage, or any part of a canvas that should be read together.
Groups do not replace tasks, projects, notes, CRM records, or connections. They help you organize the canvas around those items.
Groups are available on Standard and Pro
The PrimeFlow feature matrix lists group nodes with a color picker for both Standard and Pro.
What you can do
Create a group from the canvas right-click menu
Place nodes inside a group
Move grouped nodes together by moving the group
Resize a group around its content
Rename a group
Choose a group color
Use groups with Standard and Pro node types
Include groups in export
Use groups after templates, mind maps, or Auto Layout cleanup
Use groups for meaning, not decoration
A good group label should explain why the nodes belong together, such as Launch Phase, Client Research, Blocked Work, or Q2 Planning.
How to create a group
Step 1
Open PrimeFlow.
Step 2
Open the canvas you want to organize.
Step 3
Right-click the canvas background where you want the group to appear.
Step 4
Choose Group.
PrimeFlow creates a new group at that spot with the default name New Group.
For all right-click menu behavior, see PrimeFlow Right-Click Menus.
Group creates a new container
The Group action creates a group at the right-click position. Drag nodes into the group after creating it.
Add nodes to a group
Drag a node into a group to make it part of that group. When the node is inside the group, moving the group also moves the grouped node.
Use this for:
- Tasks that belong to the same work phase
- Project goals and milestones that belong together
- CRM nodes for one client or relationship map
- Notes, links, images, or media that support one topic
- Mind map sections that need a named boundary
- Reference material that should stay near the work it supports
Placement matters
A node joins a group when it is dropped inside the group area. If a node does not move with the group afterward, drag it farther into the group and release it again.
Move a group
Move a group when you want to reposition an organized section of the canvas.
Nodes that are inside the group move with it. This makes groups useful after a canvas grows, after adding more references, or before preparing a canvas for export.
For general canvas movement, see PrimeFlow Canvas Basics.
Resize a group
Select a group, then resize it around the content it should contain.
Resize groups when:
- New nodes were added to the section
- A section needs more room
- A group is too large for its current content
- You want clearer spacing before export
- You want to separate two nearby work areas
Resize after moving nodes
Place the important nodes first, then resize the group to fit the final section.
Rename a group
Double-click the group name to edit it.
While editing the name:
- Press
Enterto save the new name. - Press
Escapeto cancel the edit. - Click away to finish editing.
If a group has no custom name, PrimeFlow shows Group as the fallback label.
Change a group color
Groups have their own color choices. Right-click a group, or choose the small group color control beside the group name, then pick a color.
Group color choices are:
- Gray
- Red
- Orange
- Yellow
- Green
- Cyan
- Blue
- Purple
- Pink
Group colors are separate from regular node color overrides. Changing a group color does not change the colors of the nodes inside it.
For full theme behavior, see PrimeFlow Color Themes.
Groups and node colors
Groups, regular nodes, sticky notes, and connections each have separate visual controls.
| Item | Where to change it |
|---|---|
| Group | Right-click the group or use the group color control |
| Regular node | Right-click the node, then use Color |
| Sticky note | Right-click the sticky note, then use its sticky note color choices |
| Connection | Right-click the connection |
| Canvas theme | Use Colors from the PrimeFlow header |
Group color is an organizer
Use group color to mark an area of the canvas. Use node color when a specific node needs emphasis.
Groups with connections
Groups can sit around connected nodes. The connections between nodes remain visible and keep their own settings.
Use groups and connections together when you want to show both:
- Which items belong together
- How those items relate to other parts of the canvas
Connection settings such as type, comment, color, thickness, movement, and relationship labels are handled from the connection menu.
For the full connection guide, see PrimeFlow Connections and Edges.
Groups with templates
Templates can give you a starting structure. Groups are useful after a template grows beyond its starting shape.
Use groups after templates when:
- A template has several sections
- You added extra task, note, media, or CRM nodes
- You want to separate active work from reference material
- You want exported canvas snapshots to be easier to read
For template details, see PrimeFlow Templates.
Groups with Auto Layout
Auto Layout can help arrange nodes before you add groups or after you make major canvas changes.
A practical workflow is:
Step 1
Add or expand the nodes you need.
Step 2
Use Auto Layout if the canvas needs cleanup.
Step 3
Add groups around the sections that should stay visually connected.
Step 4
Resize and rename each group.
Step 5
Adjust group colors if needed.
For Auto Layout details, see PrimeFlow Auto Layout.
Groups and tracked time
When tasks live inside a group, the group shows a combined badge with the total tracked time across every task in that group. The number updates as you drag tasks in or out.
Use this when you want to read totals for a phase, a client area, a sprint, or any cluster of tasks you have already grouped together, without leaving the canvas.
The group badge:
- Adds up the time for every task that lives directly inside the group.
- Updates instantly as you change the group's membership.
- Ignores non-task items in the group, such as contacts, companies, notes, or files.
- Carries the group's colour through the hover preview so the source is obvious when multiple groups are on screen.
Group badges share the same on/off switch as task badges. Open Canvas Settings and use Show Time Badges to control whether badges appear on the active canvas.
For the full guide, see Tracked Time in PrimeFlow.
, Group totals follow membership
Drag a task into the group and the total goes up. Drag it back out and the total goes down. There is nothing extra to configure.
Groups and export
Groups are included when you export a PrimeFlow canvas as PNG, WebP, or JPEG.
Before exporting, review group names, group sizes, and group colors. This helps the exported image explain the canvas without requiring live editing.
For export details, see PrimeFlow Export.
Standard and Pro behavior
Groups are available on Standard and Pro.
On Standard, groups work with Standard PrimeFlow nodes, including tasks, sticky notes, checklist nodes, text, image, link, media nodes, documentation nodes, emoji stickers, mind map nodes, and project relationship nodes.
On Pro, groups also work with Pro node types, including advanced CRM nodes, File, Folder, PDF, Portal, Cross-Space, External App, FlowMode-related work, and Mermaid nodes.
For the full tier map, see PrimeFlow Standard vs Pro.
Things worth knowing
Groups are containers, not records
A group is a canvas organizer. It does not create a task, project, CRM record, note, file, or calendar item.
Groups do not change node data
Moving a task, project, contact, note, file, or media node into a group changes how the canvas is organized. It does not change the underlying item.
Groups cannot be placed inside other groups
Group nodes are designed to contain other node types. A group itself is not added as a child of another group.
Deleting a group does not delete grouped nodes
When a group is removed, grouped nodes are released back onto the canvas and keep their canvas positions.
Deleting selected nodes is different
If you select a group and other nodes at the same time, the selected items are removed. Check your selection before deleting.
Emoji stickers can move with grouped content
Emoji stickers that are attached to nodes can stay with those nodes when grouped content is moved.
Common questions
"Are groups Pro-only?"
No. Groups are available on every PrimeTask license.
"Can I create a group around selected nodes automatically?"
Not currently. Create the group from the canvas right-click menu, then drag nodes into it.
"How do I rename a group?"
Double-click the group name, type the new name, then press Enter or click away.
"How do I change a group color?"
Right-click the group or use the small group color control beside the group name.
