Task Views

Four ways to see and manage your tasks - List, Board, Calendar, and Gantt - with shared filtering, saved views, fullscreen, and bulk actions across all of them.

The Tasks page offers four distinct views, each designed for a different way of working. All four show the same underlying data - your tasks, with their statuses, priorities, dates, assignees, tags, and everything else - but each view presents it from a different angle. Switch between them at any time without losing your filters, search, or selection.

How to switch views

Click the view selector in the Tasks page toolbar. The current view is highlighted. Click any other view to switch - your filters, search query, and selection carry over.

Your preferred view is remembered per Space. When you come back to the Tasks page, you'll see the same view you were using last time.

Things worth knowing

Features that work across every view

These capabilities are shared across all four views - they're not specific to any one:

Filtering - filter by status, priority, assignee, project, tags, date ranges, custom fields, and more. Filters combine (AND between different types, OR within the same type). See Task Filters & Sorting.

Search - full-text search across task names and descriptions. Results update as you type.

Grouping - group tasks by status, priority, project, assignee, task type, date, or custom field. Group headers show task counts and are collapsible.

Sorting - sort by 12+ criteria including name, status, priority, due date, created date, assignee count, subtask count, completion percentage, and custom field values.

Bulk actions - select multiple tasks and apply changes to status, priority, dates, assignees, tags, or delete. See Task Bulk Actions.

Saved views - capture your current filter, sort, grouping, search, and column configuration as a named preset. Reload it with one click any time. See Task Filters & Sorting.

Fullscreen mode - enter an immersive fullscreen mode in any view for distraction-free work. The fullscreen state is unified - switching views while in fullscreen keeps you in fullscreen.

Right-click context menu - right-click any task in any view for quick actions: open, edit, duplicate, delete, pin, mark complete, copy link, create subtask.

Saved views - what they capture

When you save a view, PrimeTask captures everything about how you're currently looking at your tasks:

  • Which view you're in (list, board, calendar, or Gantt)
  • Your active filters
  • Your grouping choice
  • Your sort order
  • Your search query
  • Your column configuration (list view - which columns are visible, their order, their widths)
  • Your column aggregation settings (list view - sum, average, count for numeric columns)
  • Which board columns are open or closed (board view)

Reload a saved view and PrimeTask restores all of this in one click. You can create as many saved views as you want, edit their names, and delete ones you no longer need.

Create views for recurring workflows

If you regularly need to see "my overdue high-priority tasks" or "all tasks in the Design project grouped by status", save each as a named view. It's faster than re-applying filters every time.

Task views appear in more places than just the Tasks page

The four views described here live on the main Tasks page, but PrimeTask also shows task views in other contexts:

  • Inside projects - every project has its own task view (the Project Tasks tab), showing only that project's tasks. The same list/board view system powers it, scoped to the project. See Projects Overview.
  • The CRM Tasks page - a dedicated task view showing only CRM-linked tasks, with CRM-specific filters (by linked contact, company). See CRM Tasks.
  • Contact and company detail pages - each contact and company has a Tasks section showing the CRM tasks linked to them, with inline status/priority editing, filters, and right-click actions. See Contact Details and Company Details.

These are all filtered views of the same underlying task data - a task that appears on a contact's page also appears on the main Tasks page and (if it's linked to a project) in the project's task view. Editing a task in any of these places updates the single source of truth.

Task Calendar vs the full Calendar page

PrimeTask has two calendar-related features that are easy to confuse:

  • Task Calendar View (this article, on the Tasks page) - shows only tasks with due dates in a calendar layout. It's one of the four task views.
  • Calendar page (in the main sidebar) - a broader calendar that includes Apple Calendar events, Focus Mode sessions, time bars, Day Planner, and more. See Calendar Overview.

If you're looking for task scheduling, use the Task Calendar View. If you want the full calendar experience with external events and the Day Planner, use the Calendar page.

Gantt requires Pro

The List, Board, and Calendar views are available on every PrimeTask license. The Gantt view - with its timeline, dependency visualisation, and drag-to-resize - requires Pro. See License Settings.

Custom Kanban Boards (custom column definitions + 14 built-in templates + save boards as templates) in Board View also require Pro. The basic status/priority/project/assignee grouping in Board View is Standard.

Common questions

"I switched views and my filters are gone."

Filters carry across view switches within the same session. If you navigated away from the Tasks page and came back, the filters may have reset (depending on your saved view configuration). Save your filter configuration as a named view to preserve it permanently. See Task Filters & Sorting.

"The Calendar view doesn't show all my tasks."

The Task Calendar View only shows tasks that have a due date set. Tasks without a due date don't appear on the calendar. Switch to List View to see every task regardless of dates.

"I want a Kanban board but with my own column definitions."

Create a Custom Kanban Board (Pro) - define your own columns with custom labels and field mapping, or pick from 14 built-in templates (GTD, Scrum, Eisenhower Matrix, Bug Tracker, and more). See Board View.

"Can I be in fullscreen and still switch views?"

Yes. Fullscreen mode is unified across all views - switch from List to Board to Calendar while staying in fullscreen. The immersive mode persists until you explicitly exit it.

"I saved a view but it's not showing my latest column widths."

Saved views capture column configuration at the moment you save. If you've adjusted column widths since saving, update the saved view (save it again with the same name) to capture the new widths.
