PrimeFlow Project Note Nodes

Create, edit, and expand project notes directly on a PrimeFlow canvas, with two-way sync to the project's Notes.

A Project Note node places a real project note on a PrimeFlow canvas. Unlike most expansion nodes, Project Note nodes are a full note workflow in their own right - you can write, edit, mention people, react, set status, attach files, and embed media without leaving PrimeFlow.

Project Note nodes are generated when you expand Project Notes on a Project node, and you can also add a new project note directly from the Project node at any time.

Project Note nodes are real project notes

Anything you create, edit, or react to on the canvas is the same note you see on the project's Notes area. The two stay in sync.

What you can do

Expand project notes onto the canvas

so they sit alongside the project they belong to.

Add a new project note inline

from a Project node without opening the project page.

Edit a note

with rich content, mentions, status, and reactions from the canvas.

Attach files and embed media

images, YouTube videos, X posts, and web links - and see them appear as their own connected nodes.

Set or change status

(Todo, In Progress, In Review, Done, Blocked).

React with emoji

and see reaction counts.

Pin a note

so it stays on the canvas when project notes are collapsed.

Connect notes to other nodes

to show context across the map.

Remove a note from the canvas

without deleting the project note.

How to get Project Note nodes on a canvas

Expand Project Notes from a Project node

1

Step 1

Open PrimeFlow.

2

Step 2

Add or select a Project node.

3

Step 3

Use Project Notes on the Project node to expand the project's notes onto the canvas.

Add a new project note inline

1

Step 1

Select a Project node.

2

Step 2

Use the add note action on the Project node.

3

Step 3

Write the note in the edit panel that opens.

4

Step 4

Save.

The new note appears on the canvas as a Project Note node and is added to the project's Notes. The project's note count updates at the same time.

Capture ideas in context

Use inline creation while planning on a canvas to attach a note to the right project as you think, instead of returning to the project page.

Two-way sync with project notes

Project Note nodes are a canvas view of the project's notes:

  • Editing a Project Note node on the canvas updates the note in the project's Notes.
  • Editing a note from the project's Notes updates the Project Note node on the canvas.
  • Deleting a note from either side removes it from the other.

See the full note workflow in Project Notes.

What a Project Note node shows

A Project Note node shows the note's actual content, not a summary. Rich formatting authored in the slide-panel editor renders directly on the canvas. You can see:

  • Note content with headings, lists, quotes, code blocks, links, mentions, and media references rendered inline.
  • Mentions of team members, contacts, and companies as inline cards.
  • Reactions and their counts.
  • Status (Todo, In Progress, In Review, Done, Blocked).
  • When the note was created or last edited.
  • Whether the note is pinned.

Mentions of contacts and companies link to CRM records when CRM is available. Long notes are kept compact on the canvas. Open the note to read or edit the full content.

The note edit panel

Opening a Project Note node, or adding a new note from a Project node, opens the same rich slide-panel editor used on the project's Notes tab.

From the panel you can:

  • Write with full markdown. Headings, bullet and numbered lists, task lists, blockquotes, code blocks with syntax highlighting, images, links, underline, highlight, and text alignment.
  • Use slash commands. Type / to open a menu with Text, Heading (H1 to H6), List (Bullet, Numbered, Checklist), Quote, Code block, and Divider. Heading and List group their variants under their own submenus. Click outside the menu to close.
  • Paste markdown from anywhere. PrimeTask converts it to formatted content automatically and strips YAML frontmatter on the way in.
  • @mention team members, contacts, and companies. They render as inline cards both in the editor and on the canvas note.
  • Set or change status without leaving the panel. Todo, In Progress, In Review, Done, Blocked, or No status.
  • Pin or unpin the note.
  • Add emoji reactions.
  • Attach files, including images and documents.
  • Embed media by pasting a URL. PrimeTask recognises YouTube, X, direct image URLs, and web links.
  • Copy the note to clipboard with one click. Formatting is preserved when you paste into a rich-text target, with a plain-text fallback for terminals or code editors.
  • Save or cancel your changes.

The writing area expands when a note has no attachments, so long writing sessions get the room they need. Add an attachment and the editor returns to a compact size to keep the embed previews visible.

For the full note capabilities, including filters, conversion to task, and quote reply, see Project Notes.

PrimeFlow covers the main note workflow

Writing, mentioning, status, reactions, attachments, and media embeds all work from PrimeFlow. A few note workflows remain on the project page - use the project's Notes area when you need those.

Expand attachments and embeds into their own nodes

A Project Note node can expand into its own child nodes when it has attachments or embeds:

  • Image nodes for image attachments and image URLs.
  • YouTube nodes for YouTube links.
  • X post nodes for X/Twitter links.
  • Web link nodes for other web URLs.
  • File nodes for uploaded files, including documents.

These child nodes connect back to the Project Note node, so the canvas shows the note and everything it references in one place. Pinned children stay on the canvas when the note is collapsed, and unpinned children are rebuilt when you expand the note again.

For the child node behavior, see PrimeFlow Media and Link Nodes and PrimeFlow File and PDF Nodes. YouTube attachments can be sent to PrimeTask's universal Picture-in-Picture player - see Media Player.

Pin behavior

Project Note nodes can be pinned:

  • Pin a note to keep it on the canvas when project notes are collapsed.
  • Unpinned notes are removed on collapse and rebuilt the next time project notes are expanded.
  • Attachments and embeds generated from a pinned note also stay on the canvas.
  • Positions are remembered, so unpinned notes return to where you placed them when you re-expand.

Connections

PrimeFlow draws connections so the map stays readable:

  • Project → Project Note - each expanded note connects to its Project node.
  • Project Note → attachment or embed - each generated image, YouTube, X post, link, or file node connects to its note.

For connection behavior, see PrimeFlow Connections and Edges.

Things worth knowing

Appearance overrides are canvas-only

Changing a Project Note node's appearance in PrimeFlow affects the canvas only. It does not change the note itself. See PrimeFlow Color Themes.

Project notes follow the active Space

Project notes belong to a project inside a Space. Switching Spaces changes the available projects and their notes.

Remove from Canvas does not delete the note

Removing a Project Note node from the canvas removes the visual node and its canvas connections. The note remains in the project's Notes.

The project page is still the full notes home

Use the project's Notes area when you want the complete note list, filters, and any note action that lives on the project page. PrimeFlow gives you the canvas-side note workflow.

Common questions

"If I edit a note on the canvas, does the project's Notes list update?"

Yes. Editing, reacting, changing status, or adding attachments from the canvas updates the same note in the project's Notes. Edits on the project page also update the canvas node.

"Can I create a new project note without leaving PrimeFlow?"

Yes. Use the add note action on a Project node, write the note in the edit panel, and save. The note is added to the project and appears on the canvas.

"Do attachments show up as their own nodes?"

Yes. Images, YouTube, X posts, web links, and uploaded files expand as their own child nodes connected to the Project Note node.

"If I collapse project notes, do I lose my pinned notes?"

No. Pinned Project Note nodes and their attachment or media children stay on the canvas. Unpinned ones are rebuilt the next time you expand project notes.

"Does removing the node delete the note?"

No. Removing from the canvas affects the canvas only. The project note stays in the project's Notes.
