Browse, filter, edit, and manage every contact in your CRM - with grid and list views, bulk operations, import/export, and full Shared and Isolated CRM support.

The Contacts page is the main operations hub for everyone in your CRM. From here you can browse all your contacts, filter them by status, priority, source, or linked project, switch between a visual card view and a compact list view, select contacts for bulk operations, and import or export contacts in common formats. It's designed to handle anything from a handful of personal contacts to thousands of professional ones.

Each contact in the list is clickable - click one to open its Contact Details page, where you can see everything about that person and edit any field.

PrimeCRM is a Pro feature

The Contacts page and everything on it requires a Pro license with CRM enabled in your current Space. See CRM Settings and License Settings.

How to open the Contacts page

  • From the CRM Dashboard: Click the Total Contacts stat on the CRM Dashboard, or click View All in the Recent Contacts section.
  • From the Companies page: Click the Contacts button in the toolbar to switch.
  • Command palette: Press +K (or Ctrl+K), type contacts, and pick the entry.
  • Global search: Search for a contact's name - results include CRM contacts.
  • Quick Add: Type & followed by a name in Quick Add. Autocomplete suggestions link through to the contact. See Quick Add Settings.

Things worth knowing

Two view modes - card view and list view

The Contacts page offers two ways to browse:

  • Card view - each contact is a visual card showing their avatar, name, company, contact info, tags, priority, and linked projects. Best for getting a sense of who's in your CRM at a glance.
  • List view - a compact row-based layout showing name, title, email, phone, company, linked projects, contact source, and CRM scope in a scannable format. Best when you're looking for a specific person or working through a long list.

Your preferred view is remembered across sessions - pick once, and PrimeTask uses it every time you come back.

Filtering contacts

The filter controls let you narrow the list down to the contacts you're looking for. Available filters:

  • Search - type a name, email, phone number, or company name. Results update as you type.
  • Priority - filter by Urgent, High, Medium, or Low.
  • Status - filter by Active, Inactive, or Do Not Contact.
  • Source - filter by how the contact was acquired (LinkedIn, Referral, Family, and other sources grouped by category).
  • Project - filter by which project the contact is linked to (Shared CRM mode only). Includes an Unassigned option for contacts not linked to any project.

Filters combine - selecting a priority and a status shows only contacts that match both. See CRM Tags, Filters & Views for broader CRM filtering and search.

The status filter and inline status picker both flag Pipeline Board statuses

any contact status that's wired to a Pipeline Board shows a small indicator next to its name in the filter list and in the inline status picker on every contact. Hover the indicator to see which board and list it's mapped to. Useful when you have several custom statuses and want to know which ones actually move cards on a kanban.

Adding a contact

Click Add Contact in the toolbar to open the contact creation form. Fill in the basics - at minimum a first and last name - and save. PrimeTask confirms the creation and offers to take you straight to the new contact's Contact Details page so you can add more information (phone numbers, email, company, tags, custom fields, avatar, etc.).

Use Quick Add for fast capture

If you're in the middle of something and want to create a contact quickly, type &name in Quick Add to link a contact while creating a task. If the contact doesn't exist yet, PrimeTask offers to create them on the spot. See Quick Add Settings.

Editing contacts

Two ways to edit from this page:

  • Click through to the detail page - click any contact to open its Contact Details page, where every field is editable inline.
  • Edit mode - click Edit in the toolbar to switch to edit mode. While active, clicking a contact opens the editing form directly instead of navigating to the detail page. Click Exit Edit Mode when you're done.

Selection mode and bulk operations

Click Select in the toolbar to enter selection mode. From here you can:

  • Select individual contacts by clicking them, or use Select Page / Select All to select in bulk
  • Link selected contacts to a project (Shared CRM only)
  • Unlink selected contacts from a project (Shared CRM only)
  • Delete selected contacts

Bulk delete in Isolated CRM behaves differently

When you bulk-delete contacts from a project's Isolated CRM, PrimeTask distinguishes between contacts that were created inside that project (permanently deleted) and contacts that were linked from Shared CRM (only unlinked from the project, not destroyed). This protects shared data from accidental deletion through a project-scoped view. See Shared vs Isolated CRM.

Link/Unlink is disabled in Isolated CRM

When viewing a project's Isolated CRM, the Link and Unlink bulk actions are disabled because isolated contacts are scoped to that project and can't be cross-linked. This is by design - see Shared vs Isolated CRM.

Right-click context menu

Right-clicking any contact opens a context menu with quick actions:

  • Open - navigate to the contact's detail page
  • Copy Link - copy a primetask:// deep link to this contact, usable in Apple Shortcuts, Alfred, Raycast, Obsidian, or any tool that supports custom URLs. See External Integrations Settings.
  • Edit - open the editing form for this contact
  • Delete - remove this contact (with confirmation)

Import and export

The toolbar has Import and Export buttons for moving contact data in and out of PrimeTask:

  • Import opens a guided wizard that walks you through where your contacts live today (Apple Contacts, Google Contacts, Outlook, generic CSV, or PrimeTask backup) with the export steps for each tool, then accepts the resulting CSV, vCard (.vcf), or JSON file. After picking a file, PrimeTask shows a preview and runs duplicate detection. For any contact that matches an existing one, you choose whether to skip it, update the existing contact, or import it as a new entry.
  • Export offers CSV, vCard, and JSON formats. All contacts in the current view (respecting your filters) are included.

The View Mode Selector - Shared vs Isolated CRM

The same View Mode Selector from the CRM Dashboard appears here. Switch between Shared CRM (every contact in the Space) and a specific project's Isolated CRM (only that project's contacts). The entire page - filters, counts, bulk operations - re-scopes to whichever mode you pick.

When viewing a project's Isolated CRM, each contact shows a source indicator so you can tell whether it was created inside that project or linked from the shared CRM pool. This distinction matters for deletion (see the bulk-delete warning above) and for understanding who "owns" the data. The full explanation is in Shared vs Isolated CRM.

Common questions

"How do I find a specific contact quickly?"

Use the Search filter at the top of the page - it matches against name, email, phone, and company. If you know which project the contact is linked to, the Project filter narrows the list further. You can also press +K and search from the command palette.

"Can I sort the contact list by name or company?"

The Contacts page is ordered by recency (most recently updated first). There is no column sort. If you need analytical views or custom groupings, see CRM & Reports.

"I want to delete a contact but I'm worried about losing data in other projects."

If you're in Shared CRM mode, deleting a contact removes it everywhere - from every project it's linked to. If you're in a project's Isolated CRM, deleting a shared-linked contact only unlinks it from that project; the contact itself survives in the shared pool. Only contacts created inside the isolated project are permanently deleted from that view. See Shared vs Isolated CRM.

"I imported a CSV but some contacts were skipped."

The import process runs duplicate detection. If a contact in the file matches an existing one (by name and email), you're asked how to handle it - skip, update, or import as new. Any contacts marked as "skip" during that step show up in the result count as skipped. Re-run the import and choose "update" or "import as new" for those if you want them.

"How do I link a contact to a project?"

Enter selection mode (click Select in the toolbar), select the contacts you want, then click Link and pick the target project. This is available in Shared CRM mode only - in Isolated CRM, contacts are already scoped to the project. See CRM & Projects for the full explanation.

"Can I copy a link to a specific contact for use in another app?"

Yes. Right-click the contact and choose Copy Link. PrimeTask copies a primetask:// deep link to your clipboard that you can paste into Obsidian, Apple Shortcuts, Alfred, Raycast, or any tool that opens custom URLs. See External Integrations Settings for setup.
