Projects List Page

The All Projects page - manage every project in your Space with Grid or List views, search, archive and health filters, per-project actions, and one-click create.

The Projects list page is your management dashboard for every project in the current Space. Open it to see all your projects at once, search by name or description, filter by archive state and health, switch between Grid and List views, and use the per-project actions menu to edit, archive, copy to another Space, copy a deep link, or delete. New projects are created from a button at the top.

This page is different from a single project's detail page - see Project Details Page for that. This article covers the list view of all projects.

How to open the Projects list page

  • Sidebar - click Projects in the sidebar
  • Dashboard - click View All Projects in the Project Overview widget
  • Command palette - press +K (or Ctrl+K) and search for projects

The header bar

The top of the page has:

  • Page title - All Projects
  • Subtitle (on wider screens) - short description
  • New Project button - opens the project creation modal (see Creating Projects)
  • Search bar - type to filter projects by name or description in real time
  • Filter tabs - All, Active, Archived (with counts; the Archived tab only appears when at least one project is archived)
  • Health filter dropdown - narrow to one health state at a time
  • View toggle - switch between Grid and List

Two view modes

Grid view

Each project appears as a card with:

  • Banner image at the top (or a colour gradient based on the project's colour if no image is set)
  • Status badge ("Archived" if applicable)
  • CRM badge ("CRM Linked" or "CRM Isolated" if CRM is enabled on the project)
  • Project name and description
  • Progress bar with percentage and a tasks-completed-of-total count
  • Task distribution - counts across Not Started, Active, Complete, and Closed statuses
  • Overdue badge - if there are overdue tasks
  • Quick stats - Tasks, Goals, Milestones, Notes (each clickable to jump to that tab on the detail page)
  • CRM stats - Contacts, Companies, Activities (when CRM is enabled, each clickable)
  • Health badge with icon and label
  • Team avatars - up to three with a "+N" indicator for additional members
  • Actions menu (three-dot button in the top right)

List view

Each project is a row with:

  • Banner thumbnail or coloured initial square
  • Project name, archive badge, health badge, CRM badge
  • Description (truncated to one line)
  • Progress bar with percentage
  • Overdue badge - if there are overdue tasks
  • Inline action buttons - Overview, Tasks, Goals, Milestones, Notes, CRM (Contacts/Companies/Activities when enabled)
  • Task distribution columns (on wider screens) - Not Started / Active / Complete / Closed counts
  • Team avatars (on wider screens) - up to three with a "+N" indicator
  • Actions menu (three-dot button on the right)

Switching views

The view toggle is in the header bar. The default view is List. Your choice resets to List on the next app launch - view mode isn't persisted between sessions.

Use search for known projects

Search is usually faster than changing views when you already know the project name.

Filters

Archive filter (URL-persisted)

Three options:

Each filter shows a count badge so you know how many projects match before clicking. The active filter is stored in the URL (e.g., ?filter=archived) - you can bookmark a specific filter view, share the URL, or refresh without losing your selection.

When you archive your last active project from the Active view, the page auto-switches to the Archived filter so you can confirm the project went where you expected. The reverse happens when you unarchive your last archived project.

Archive filters help with cleanup

Use Active for daily work, Archived for finished or paused projects, and All when you need both.

Health filter

A dropdown lets you narrow to one health state:

  • All (default)
  • On Track
  • At Risk
  • Behind
  • Critical
  • Completed

Health is auto-calculated for every project - see Project Health & Progress.

Filters combine with AND

The Archive and Health filters apply together. Active + At Risk shows non-archived projects whose health is At Risk. The search query also combines with both filters.

Search

The search bar matches against:

  • Project name
  • Project description

Search is case-insensitive and updates as you type. Pagination resets to page 1 whenever the search query changes.

Pagination

Long lists paginate. The default is 5 projects per page, configurable up to 25. The pagination footer appears below the project list and lets you navigate pages, change items-per-page, and see total filtered project count.

When you change a filter, search query, or items-per-page, pagination resets to page 1 automatically.

Per-project actions menu

Click the three-dot button on any project card or row to open the actions menu. Available actions:

The actions menu is the only access point - there's no right-click context menu.

Delete removes the project permanently

Archive instead when you only want to remove the project from active views.

Creating a new project

Click New Project at the top right of the page to open the Quick Create modal. Only the project name is required; everything else is optional. See Creating Projects for the full creation flow including the Setup Wizard option.

Empty states

Two situations show an empty state:

No projects exist

You see a message inviting you to create your first project, with a Create First Project button that opens the Quick Create modal.

Filters return no projects

You see a message suggesting you adjust your search or filters. The Create button doesn't appear because projects exist - they're just hidden by your current filters. Clear the search and reset filters to see them.

Card and row interactivity

Click a project to open it

Clicking the card body (or the row's main area) navigates to the Project Details Page for that project - opens on the Overview tab by default.

Click a stat to jump to a tab

Project cards and rows have inline stat buttons for tasks, goals, milestones, notes, CRM contacts/companies/activities. Clicking any of them navigates straight to the corresponding tab on the detail page - saving you a click compared to opening the project and switching tabs manually.

Team avatars are clickable too

Clicking the team avatars area takes you to the project's detail page on the Team tab.

Things worth knowing

View mode resets on launch

The Grid/List toggle isn't saved between app sessions - every launch starts in List view. Your choice within a session persists until you reload.

URL filter is shareable

The Archive filter persists in the URL (?filter=active, ?filter=archived, or ?filter=all). Bookmark the page with a specific filter for one-click access to that view. The Health filter and search query are not URL-persisted.

Team avatar fallback uses task assignees

If a project doesn't have an explicit team set, PrimeTask shows the unique assignees from the project's tasks as a stand-in. Once you set explicit team members on the project's Team tab, those take over. See Project Team.

The Archived filter only appears when needed

The Archived filter tab is hidden when no projects are archived - it appears the moment you archive your first project. Same for the Active count badge, which is always visible.

Clicking outside the actions menu closes it

The actions menu is a portal-style dropdown anchored to the three-dot button. Click anywhere else on the page to close it.

Sort isn't currently configurable

Projects display in the order returned by the underlying store - there's no user-configurable sort dropdown on this page. To find a specific project quickly, use search instead.

CRM badges and stats only appear when CRM is enabled

The "CRM Linked" or "CRM Isolated" badge and the Contacts / Companies / Activities stats only show on cards and rows for projects with CRM enabled (project has crm_enabled = true). Projects without CRM show the standard stats only. See Project Team & CRM.

The Copy to Space option requires multiple Spaces

The actions menu hides Copy to Space when your installation has only one Space (there's nowhere to copy to). Add another Space and the option appears. See Copy to Space.

Delete shows the exact task count

When you choose Delete from the actions menu, the confirmation modal shows you exactly how many tasks will be permanently removed alongside the project. This prevents accidental deletion of large projects.

Common questions

"Where do I create a new project?"

Click New Project at the top right of the Projects list page. It opens the Quick Create modal. See Creating Projects.

"Why don't I see my archived projects?"

The default filter is Active, which hides archived projects. Click the Archived filter tab (only appears when you have at least one archived project) to see them, or click All to see both.

"How do I sort projects by name or deadline?"

Sort isn't currently configurable on this page. Use search to find a specific project quickly. To compare projects on a specific dimension, open the Dashboard's Project Overview widget which shows a different summary.

"Can I bulk-archive or bulk-delete projects?"

No - actions are one project at a time from the actions menu. To clean up many projects, archive or delete them individually.

"Why does my view mode reset every time I open the app?"

The Grid/List toggle isn't persisted between sessions. This is intentional - the page defaults to List view as the most compact way to scan many projects.

"I see 'CRM Linked' and 'CRM Isolated' badges. What's the difference?"

These badges show the project's CRM mode. Linked (Shared) means the project uses the Space's main CRM; Isolated means the project has its own private CRM data. See Project Team & CRM.

"How do I share a filtered view with someone on my team?"

The Archive filter is URL-persisted, so you can copy the URL with ?filter=archived (or ?filter=all) and share it. Search and Health filter aren't in the URL - those would need to be re-applied on the other side.

"Can I right-click a project to get the actions menu?"

No - the actions menu is only accessible via the three-dot button on each card or row. There's no right-click context menu on the Projects list page.

"Why don't I see all my projects on the first page?"

Pagination is set to 5 projects per page by default. Increase items-per-page in the pagination footer (up to 25), or use search to find specific projects.

"What's the difference between archive and delete?"

Archive is reversible - the project is hidden but data is preserved. Delete is permanent - the project and all its tasks are removed. See Archive Projects.
