PrimeTask ships with 17 built-in field templates that drop a curated set of fields into your Space with one click. Pick a template that matches your workflow (Bug Tracking, Sales Pipeline, Project Planning, Game Development, etc.) and the relevant fields appear immediately - pre-configured with the right types, options, and entity scopes. You can also save your own field setup as a custom template to reuse across Spaces.

How templates work
Each template is a named bundle of pre-configured field definitions - name, type, options, entity scope, currency role, etc. Applying a template adds those fields to your Space. You then customise as needed: rename, change options, adjust entity scopes.

Apply a template to save setup time, then rename fields, adjust options, and change scopes to fit your workflow.
Templates are typically applied via the Field Setup Wizard which provides:
- Smart reuse - detects existing fields with matching names and reuses them rather than duplicating
- Append mode - adds new fields without replacing your existing ones
- Replace mode - wipes existing fields and applies the template fresh
- Per-template configuration - adjust currency codes, entity scopes, and other parameters before applying

Custom (user-saved) templates
You can save your current field setup as a custom template and apply it to other Spaces. Useful when you've spent time configuring fields just right and want to replicate the setup.
How to save
From the Field Setup Wizard or Settings → Category Management → Fields tab, use the Save as Template action. Give it a name and description.
Where templates live
User templates are stored locally (across all Spaces) - they're not synced between devices automatically. To share with another device, export and re-import.
Custom templates stay with this PrimeTask setup
Use export and import when you need the same saved template somewhere else.
Apply a custom template
Custom templates appear in the same template picker as the 17 built-ins. Pick yours, configure entity scopes if needed, and apply.
Delete a custom template
From Settings, manage your saved templates and delete ones you no longer need.
Things worth knowing
Templates are starting points - not constraints
After applying a template, you can modify any field - rename, add/remove options, change entity scope, adjust visibility. The template just gives you a sensible starting set; everything is customisable.
Smart reuse prevents duplicate fields
When applying a template to a Space that already has custom fields, the Field Setup Wizard checks for fields with matching names. If found, you can reuse them (no duplicate created) or create a new one alongside. See Field Setup Wizard.
Templates apply per Space
Each Space has its own field set. Applying a template in your Work Space doesn't affect Personal Space. To replicate, save as a custom template and apply in the other Space.
Append vs replace
The wizard offers two modes:
- Append (recommended) - adds template fields to your existing ones
- Replace - wipes existing custom fields first, then applies the template (use with caution; existing field values are lost)
Replace removes existing field setup
Use append when you want to keep current fields and add template fields alongside them.
Templates set entity scopes intelligently
Each template sets Entity Scope for each field based on what makes sense (e.g., Sales Pipeline's Deal Size applies to tasks, projects, contacts; Contact Profile's Phone applies to contacts and companies). You can override after applying.
Templates pre-configure relationship targets
Templates that include relationship fields (Sales Pipeline → Contact, Finance Tracking → Client) pre-configure the target type. You don't have to set up the link manually.
Relationship templates save setup time
Templates with relationship fields already include the intended target type, so you can start linking entities sooner.
Some templates are project-only
The 9 project-specific templates are designed for project entities. Their fields apply to projects (and sometimes related entities like clients and contractors). Use them from the in-project Fields tab. The 8 general templates work for any combination of entity types.
Common questions
"How do I apply a template?"
The easiest path is the Field Setup Wizard - open it from the Project Fields tab or Settings → Category Management → Fields. The wizard walks you through template selection, smart reuse, and configuration. See Field Setup Wizard.
"Can I edit a built-in template?"
You can't edit the built-in templates directly, but you can apply one and then customise the fields it adds. To save your customisations, save the result as a custom template.
"What happens if I apply a template that has fields I already have?"
The Field Setup Wizard's smart reuse detects matching names and offers to reuse the existing field rather than create a duplicate. You decide per-field.
"Can I share custom templates with my team?"
Custom templates are stored locally and don't sync automatically. To share, export your custom template (as JSON) and have your teammate import it on their device. Built-in templates are available to everyone on Pro automatically.
"Can I apply more than one template?"
Yes - apply them sequentially. The smart reuse system handles overlapping fields. The result is the union of all applied templates' fields (minus duplicates).
"Why doesn't my Sales Pipeline template create the relationship to a specific contact?"
The template sets up the Contact relationship field with target type contact - but it doesn't pre-link to a specific contact. After applying, edit each entity to set the actual relationship value.
"Can I delete a template after applying it?"
You can delete the template (so it doesn't appear in future), but the fields it added stay until you delete them individually.
"What's the difference between a template and the Field Setup Wizard?"
Templates are bundles of field definitions. The Field Setup Wizard is the UI that helps you apply a template, including financial-specific configuration steps. The wizard uses templates under the hood. See Field Setup Wizard.
