All Spaces on the Dashboard
See tasks, projects, activity and focus time from all your Spaces, or just the ones you choose, on one dashboard without switching Space.
If you keep separate Spaces for different parts of your life, such as Personal, Work and Freelance, the dashboard can show them together. Choose All Spaces and your stat cards, task widgets, projects, recent activity and focus time come from every Space at once, each item named with the Space it belongs to. Choose Choose Spaces to include only the Spaces you pick.
Nothing is moved or merged. Your Spaces stay exactly as they are, and you keep working in the Space you're in. Anything from another Space opens in that Space when you click it.
Available on every PrimeTask license
Seeing your Spaces together needs two or more Spaces. With one Space, the dashboard always shows that Space.
What you can do
See every Space at once
tasks, projects, activity and focus time from all your Spaces on one dashboard
Pick the Spaces you want
leave out a Space you don't need to see right now
Open anything in its own Space
click a task, project or activity from another Space and PrimeTask switches to that Space and opens it
Browse every project
Project Overview lists all your projects, grouped by Space, and shows any of them in more detail without leaving the dashboard
Keep a separate arrangement
the All Spaces view has its own layout, so your Space's own dashboard stays as you set it
Set it Space by Space
each Space remembers its own choice, so one Space can open on All Spaces while another stays on This Space
How to turn it on
On the Dashboard, click Dashboard options in the dashboard header.
Point at Spaces.
Choose one: - This Space - the dashboard shows only the Space you're in. Every Space starts here. - All Spaces - the dashboard shows every Space. - Choose Spaces - pick the Spaces to include. Every Space starts included. Click a Space to leave it out or bring it back. The last Space always stays in.
Your choice applies straight away. While the dashboard reads your Spaces, it says so, and the stat cards and widgets appear once everything is in. The dashboard header then also says which Spaces you're seeing, such as All 3 Spaces or 2 of 3 Spaces.
Each Space keeps its own choice
Set your Work Space to All Spaces for a weekly overview and leave Personal on This Space. When you switch Spaces from the sidebar, the dashboard follows each Space's own choice.
What each widget shows
| Widget | On All Spaces or Choose Spaces |
|---|---|
| Stat cards | Count tasks across the Spaces you're seeing. Clicking a card opens the task list with tasks from every Space, each named with its Space, and a Space filter so you can narrow it to one Space. |
| Upcoming Tasks | Tasks due in the next 7 days from every Space you're seeing. |
| Today's Focus | Tasks starting today or earlier from every Space you're seeing, ordered by each Space's own priorities. Adding a task here creates it in the Space you're in, and the box says which Space that is. |
| Scheduling Insights | Your active window, tasks starting this week and tasks with no start date, across your Spaces. |
| Quick Tasks | Your recent unfinished tasks from every Space you're seeing. |
| Task Status Overview | Status counts across your Spaces, with each task judged by its own Space's statuses. |
| Project Overview | Every project, grouped by Space with yours first. Click a project to see its team, goals, milestones and recent progress. |
| Recent Activity | The latest activity across your Spaces, each named with its Space. |
| Focus Stats | Focus time from every Space you're seeing. The details show which Space each task belongs to. |
| Quick Actions | Creates things in the Space you're in, and names that Space. |
| Quick Notes | Works in the Space you're in, as always. |
| Reminders | Unchanged. On macOS it follows your Apple Reminders settings, as it does on This Space. |
Working with items from another Space
You can change items from the Space you're in right on the dashboard, just as before. Items from other Spaces are there to see. To change one, click it: PrimeTask switches to its Space and opens it there, ready to edit.
- A task opens on its task page, a project on its project page, and an activity in its own window, all in their own Space.
- If the Space has been removed, or can't be opened, PrimeTask tells you and stays where you are.
Nothing changes by accident
Just after you switch Space, the dashboard keeps showing what it last read but holds off on any change until it has read your Spaces again.
The All Spaces layout
The All Spaces view has a layout of its own. On All Spaces or Choose Spaces, click Edit Layout in the dashboard header. Customize Dashboard says All Spaces layout, so you know which one you're changing. Show, hide and reorder widgets there as usual.
- The first time you switch to All Spaces or Choose Spaces, the All Spaces layout starts as a copy of the one you had on screen.
- Every Space set to All Spaces or Choose Spaces uses the same All Spaces layout.
- Your Space's own layout isn't touched, and it's back as soon as you return to This Space.
- Reset to Default resets the layout you're editing.
See Dashboard Layout for everything you can arrange.
Kept on this computer
Each Space's own layout travels with the Space when it syncs. Each Space's choice and the All Spaces layout stay on this computer, because they cover Spaces another computer might not have.
Things worth knowing
A Space that can't be read
If PrimeTask can't read one of your Spaces, or part of one, the dashboard header names it, for example (Work could not be read). Everything else still shows.
Each Space's own statuses and priorities
Every item is judged by its own Space's statuses and priorities. A task that's done in one Space counts as done, even if another Space names its statuses differently.
Copied items show once for each Space
If you've copied a task or project into another of your Spaces, you'll see both copies, each named with its own Space, and each one opens in its own Space. See Space Sharing Between Spaces.
Projects open one at a time
In Project Overview, click a project to see its details on the dashboard. Click another and the first one closes. View Project Details opens the project in its own Space, and Add Task is there for projects in the Space you're in. See Project Overview Widget.
Common questions
"Does All Spaces merge my Spaces?"
No. It only changes what the dashboard shows. Your Spaces, and everything in them, stay separate. Go back to This Space whenever you like.
"Why can't I change a task from another Space on the dashboard?"
So nothing in another Space changes by accident. Click the task instead: PrimeTask switches to its Space and opens it, and you can change it there.
"Why did PrimeTask switch Space when I clicked something?"
The item belongs to another Space, so PrimeTask opens it in that Space. Switch back from the sidebar whenever you like. See Spaces Overview.
"Is my All Spaces choice on my other computers too?"
No. Each Space's choice and the All Spaces layout are kept on this computer, so set them up on each computer you use.
"Why isn't Spaces in Dashboard options?"
You need at least two Spaces. With one Space, the dashboard always shows that Space. See Creating and Managing Spaces.
