Activity Page

Every activity has its own page: what was said, when it happened, who was there, the deal it belongs to and its files, all in one place.

Click an activity in PrimeCRM and it opens on its own page. One call, email, meeting, demo or proposal, with everything about it together: your notes, its details, the people on it, what it is linked to and the files that came with it. You change things where you read them.

You still log a new activity with any Log Activity button, in the activity window described in Activities. The page is where you come back to it.

Part of PrimeCRM

The Activity page is part of the Pro tier, alongside the rest of PrimeCRM. To use it, upgrade from License Settings.

How to open an activity's page

  • Activities page: Click any card or row. An activity's file count opens the page at its files.
  • A contact's or company's page: Click an activity. Its file count opens the page at its files.
  • An opportunity's page: Click a proposal in the Proposals section.
  • CRM Dashboard: Click an activity under Recent Activities.
  • A project's CRM tab: Click an activity's card or row, or its name in the Contacts and Companies tables.
  • LinkedIn Pipeline: Choose Open latest activity on a contact's card.
  • Files: On the CRM Files page, or under Also on in any record's files, click the activity a file is filed on.
  • File Inbox: Click the Linked to line of a file filed onto an activity, then click the activity. See File Inbox.
  • Right after logging an activity: Click Open in the confirmation.
  • PrimeFlow: Select an activity on a canvas and click View Activity. See PrimeFlow CRM Nodes.
  • A task's comments: Click the activity named in the comment on a task linked to it.
  • A link: Right-click an activity on the Activities page and choose Copy Link, then open the link from another app. This needs External Integrations turned on.

Edit still opens the activity window

An activity's Edit button opens the activity window, as it always has. The page opens from the places above. Both change the same activity.

Notes

An activity's writing lives in its notes. Each type has its own tabs, so each kind of writing has a place:

TypeTabs
MeetingNotes, Agenda, Description
CallNotes, Description
EmailEmail, Notes
DemoFeedback, Next steps, Description
ProposalTerms, Description
LinkedIn MessageConversation, Notes
LinkedIn Connection, Profile ViewNotes
NoteDescription
Task CompletedDescription, Deliverables

If an activity holds writing that its type has no tab for, written in the activity window or by your AI agent, that writing gets a tab of its own, so nothing is out of reach.

Writing and saving

Click Add on an empty tab, or Edit on one with writing in it. As you write:

  • Type / for headings, lists, checklists, quotes, callouts, tables and dividers
  • Type @ to mention a contact or a company, and in a shared Space a member too. Each mention becomes a link a reader can follow

Click Save when you are done, or press ⌘+S (or Ctrl+S). ⌘+Enter (or Ctrl+Enter) saves too. Cancel asks before throwing away anything you changed.

Once saved, a checklist can be ticked right where you read it, without opening the editor.

The same Save as your other notes

⌘+S is the Save that PrimeTask uses for task, project and opportunity notes too. Change it in Settings → Automations → Shortcuts and the new keys work here as well. See Keyboard Shortcuts.

Nothing you write is lost

PrimeTask keeps a draft of your writing on this computer as you type. Leave the page, write in another tab or quit PrimeTask, and it is still there: go back to the tab and choose Resume to carry on, or Discard to drop it. Saving clears the draft.

If the same tab changes somewhere else while you are writing, the page tells you before you save. Saving keeps your version.

Drafts stay on this computer

A draft lives only on the computer you wrote it on, and never syncs. A draft you never come back to is cleared after two months.

Focus mode

Click Focus mode to give the notes the whole window. Press Esc to come back.

Templates

Most tabs have a Template menu. Start an empty tab from that tab's built-in template, add one to writing already under way, or use a template of your own. Making your own, changing the built-in ones and copying them to another Space are covered in Note Templates.

An email

An email's Email tab reads like the email itself: the subject, who it was from and to, anyone else on it, the message and its attachments. Click an attachment to preview it.

A LinkedIn message

A LinkedIn message opens on its Conversation tab: the message you sent and their reply. Click Edit to paste either one in. Saving a message marks it as sent, and saving their reply marks it as replied. If you sent it from a message template, the tab names the template.

Details

Every detail of an activity can be changed where it is shown. Click a value, change it, and it saves straight away.

Every activity has its date and time and its outcome. Each type adds its own details:

TypeAdds
MeetingDuration, format, the meeting link, place or phone number, whether a follow-up is needed, recording
CallInbound or outbound, duration, how the call went, next call, recording
EmailSent or received, subject, whether a reply came and when, attachments
DemoKind of demo, what was shown, duration, interest, recording
ProposalValue, currency, status, decision date, decision maker, a link to the proposal, and why it was rejected when it was
LinkedIn MessageWhether it was sent, whether they replied and when
LinkedIn ConnectionWhether it was accepted and when
Task CompletedThe task, its kind, whether it was done on time, time spent

A few of them work in a particular way:

  • A demo with no interest chosen yet shows Scheduled, which is how the Deal Pipeline counts it until you choose one
  • Once an email has files, its Attachments line counts them and takes you to them
  • A LinkedIn activity also shows the contact's outreach stage and, when there is one, the message template it was sent from. Both come from elsewhere, so they are shown here rather than changed

Two more lines appear on every activity:

  • Opportunity links the activity to a sale in the same CRM, or unlinks it. It offers open and on-hold sales, plus the one the activity is already on. Type to search them
  • Logged by shows who logged it: you, a teammate, or your AI agent under the name set in Settings → External Integrations → Agent name. In a shared Space, an activity an AI agent logged shows that agent's own name to everyone, and renaming your agent later leaves earlier activities as they are. See External Integrations

People and companies

The people and companies on the activity are listed with the primary ones first. Click anyone to open their page.

Click Link to change who is on it:

  • Search your contacts or companies, select as many as you need, and link them in one go
  • On the Linked tab, make one the primary contact or company, or unlink them

Unlinking takes someone off this activity only. The contact or company itself is kept, with its other links and history.

Some types show their people their own way:

  • On a meeting or a demo, the people you link are its attendees
  • On an email, each person shows as From, To or Cc, following the email's direction
  • On a LinkedIn activity, a button opens the contact's LinkedIn profile, when their contact record has one

If a linked contact or company has since been deleted, the card says so and offers Unlink.

The card each type adds

Three types add a card of their own:

  • A meeting's action items. What was agreed in the meeting. Add an item, tick it when it is done, click it to reword it, or remove it. Open items also show in the Meeting Tracker. An item that someone has to do by a date can become a task, as the next section explains.
  • An email's thread. When an email is one of several in a conversation, the thread lists them all, oldest first. Click any of them to open it. Emails become a thread when your AI agent logs them as one conversation.
  • A LinkedIn contact's outreach. Where the contact stands on the LinkedIn Pipeline: the stage they have reached, when they last replied and when you last messaged them, with a link to the pipeline.

Next steps as tasks

Whatever the activity, what happens next can be a task, with an owner, a due date and a place in your day. Every activity's page has a Tasks card for its next steps, showing each task's status, priority and due date. A meeting keeps its tasks with its action items instead.

  • Create a task: Type its name in Link or create a task... and press Enter. The task carries the activity's contacts and companies, and is made in the same CRM as the activity. You can type its details as you name it: a date and time (tom 3pm), start:, !priority, ::status, #tag, +person and ~30m, and & or % to add a contact or company alongside the activity's own (in a project's own CRM they stay in the name, and the line under the box says why). A typed @project stays in the name, because the task belongs with the activity. Keep as plain text saves the name exactly as typed. See Creating Tasks.
  • Link a task you already have: Type part of its name and click it in the list. Matches come from the name alone, so Send proposal tom !high still finds Send proposal, and linking a task never changes it. On a meeting, click Link task first.
  • Turn a meeting's action item into a task: Point at an open item and click Make a task. The task takes the item's words and the meeting's contacts and companies. The item leaves the list, here and in the Meeting Tracker.
  • Open a task: Click it.
  • Unlink a task: Click its remove button. The task itself is kept.

When the activity is on an opportunity, a task made from it also joins that opportunity's Next steps. See Opportunities.

Every task linked to an activity gets a comment naming the activity. Click its name there to come back to this page. See Task Comments.

A task is finished in the task

Tick a task done where you work on it, in your task list or on its own page. The activity shows it done. See CRM Tasks.

Related

When an activity is linked to other records, a Related card lists them. Click any of them to open it:

  • The opportunity it belongs to, with its stage and value
  • Another activity it is linked to, such as the demo a proposal was made from, and any activity linked to this one, such as the proposal made from a demo. The Deal Pipeline makes these links when you convert a demo into a proposal
  • Up to four other activities on the same opportunity, with a link to the rest on the opportunity
  • On a Task Completed activity, the CRM task it records, which opens your CRM Tasks

A link to something that has since been deleted says so.

Files

Each activity has its own Files, as a contact, company or opportunity does: add files, drop them in, preview them and see where else each one is filed. See CRM Files.

An email's attachments are its files. They show under the message on its Email tab, and its Attachments line counts them.

Rename, delete, or go to its tracker

  • Rename the activity by clicking its title. Press Enter to keep the new name, or Esc to leave it as it was.
  • Activities takes you to the Activities page, in the same CRM.
  • The tracker button opens where this type is tracked: Meeting Tracker for meetings, Email Tracker for emails, Call Tracker for calls, Deal Pipeline for demos and proposals, and LinkedIn Pipeline for LinkedIn activities. Notes and completed tasks have none.
  • Delete removes the activity once you confirm.

Deleting an activity cannot be undone

The activity and its notes are removed for good. Its contacts, companies and opportunity are kept, and so are its files: a file filed only on this activity stays in CRM Files, unfiled, and a file also filed elsewhere stays there.

Things worth knowing

The page and the activity window

An activity keeps the type it was logged as on its page. To change the type, open the activity with Edit and pick another; the activity then takes that type's default title, so check the title before you save. To log a new activity, use any Log Activity button.

An activity in a project's own CRM

When a project keeps its own CRM, the activities logged there live in it. Their page opens inside that project's CRM, and the people, companies and opportunities you can link are the ones that CRM holds. See Shared vs Isolated CRM and CRM & Projects.

LinkedIn activities keep the pipeline current

Marking a LinkedIn message as sent or replied, or a connection as accepted, updates where the contact stands on the LinkedIn Pipeline, just as the activity window does. If the pipeline cannot be updated at that moment, your change is still saved, and the pipeline catches up with your next change.

Common questions

"Where is the activity window now?"

Where it always was. Log Activity opens it for a new activity, and an activity's Edit button opens it for that activity. The page opens from the places listed under How to open an activity's page.

"I quit PrimeTask in the middle of a note. Is it gone?"

No. PrimeTask kept your writing on this computer as you typed. Open the activity again, go to the same tab and choose Resume. The draft waits until you save or discard it, for up to two months.

"Why can't I rename this LinkedIn note?"

A note called Marked as qualified lead or Marked as not interested records where a contact stands on the LinkedIn Pipeline, and the pipeline reads it from that title. Renaming it would move the contact, so the title stays as it is.

"Why doesn't my email show a thread?"

An email shows a thread when it is one of several emails logged as one conversation, which your AI agent does when it logs them that way. An email logged on its own has no thread to show.

"Does deleting an activity delete its files?"

No. A file filed only on that activity stays in CRM Files, unfiled and ready to file somewhere else. A file also filed on other records stays with them.
