Activities and Opportunities
Put a call, email, meeting, demo or proposal on the sale it belongs to, or turn one into a new opportunity.
Most sales start as something smaller. Somebody calls, you send a proposal, a meeting goes well. PrimeTask lets you connect that work to the sale it belongs to, so the sale carries its own history, and lets you turn a piece of work into a sale the moment it turns out to be one.
This is part of the Pro tier, alongside the rest of PrimeCRM. To use it, upgrade from License Settings.
What you can do
Attach an activity to a sale
so it appears on that sale's history
Move an activity to a different sale
or detach it entirely
Turn an activity into a new opportunity
with that activity recorded as where the sale began
Plan ahead
by marking a new activity to become an opportunity when you save it
Attaching an activity to a sale
Open the activity, in whichever tracker it lives, and use the Opportunity field.
- Choose a sale to attach it to
- Choose Not linked to an opportunity to detach it
- Choose a different sale to move it
The list offers sales that are still live, meaning open or on hold, plus whichever one the activity is already on. Closed sales are left out, because attaching new work to a finished sale is almost always a mistake.
Attach from the activity, detach from either side
The Opportunity field on the activity is where a link is made. On the sale's own timeline you can remove an activity, which detaches it. There is no way to attach one from the sale.
Once attached, the activity appears on the sale's timeline in date order alongside your notes, and opening it there opens the activity itself.
Detaching
From the sale's timeline, remove the activity. PrimeTask asks you to confirm, because "remove" next to something you did not create there can read as "delete".
Detaching never deletes the activity
It stays on its contact, on its company and on the Deal Pipeline. Only the connection to the sale goes, and you can attach it again at any time.
Turning an activity into an opportunity
When a call or a proposal turns out to be a real sale, you do not have to retype it. Open the activity and choose Promote to a new opportunity.
A new sale is created, and the activity becomes the record of where it began.
What carries across
| What | Carries across? |
|---|---|
| The title | Yes, and you can change it afterwards |
| Contacts and companies | Yes, including which is primary |
| Where the sale came from | Yes, recorded permanently on the sale |
| A proposal's value and currency | Yes |
| Anything else | No. Stage, dates, probability and the rest are yours to fill in |
All five kinds can be promoted: calls, emails, meetings, demos and proposals.
Only a proposal brings money with it
A proposal already carries an amount, so that amount becomes the new sale's value. The other four do not have one, so the sale starts with no value and your default currency, ready for you to fill in.
The value stops tracking afterwards
Once the sale exists, its value is its own. Changing the proposal later does not change the sale, and changing the sale does not change the proposal.
That is deliberate. A proposal is what you offered on a particular day, and it should stay that. The sale's value is what you currently expect to close, which moves as you negotiate. Keeping them tied together would mean losing one or the other.
Promoting a new activity
If you are creating the activity now and already know it is a sale, tick Create an opportunity from this before you save. PrimeTask saves the activity, then opens the new sale with the activity as its starting point.
An activity can only become one sale
Promoting the same activity twice does not create a second sale. It takes you to the one it already made, so a double click or a retry costs nothing.
An activity that is already attached to a different sale cannot be promoted. Detach it first, or use the sale it is already on.
Things worth knowing
Where the sale came from never changes
Once a sale has been created from an activity, that stays on its timeline permanently as the first entry. It survives everything else: the sale can move stage, change pipeline, be won, lost, reopened, and its origin still reads correctly.
If the sale was created by hand rather than from an activity, the timeline says so instead.
Shared and project CRMs do not mix
An activity in your shared CRM can only be attached to a sale in your shared CRM. An activity in a project's own CRM can only be attached to a sale in that same project. See Shared vs Isolated CRM.
Proposals get their own summary
Proposals attached to a sale appear on the timeline like everything else, and are also gathered into a short list further down the sale's page, with what each one was worth. It is a way of reading what you have offered without scrolling the whole history.
An AI agent can do this too
Attaching, detaching and promoting are all available to an AI agent you have connected. See PrimeCRM and AI agents.
Common questions
"What is the difference between attaching and promoting?"
Attaching connects an activity to a sale that already exists. Promoting creates a new sale from an activity, when there was not one before.
"I promoted a proposal. Why does changing its amount not change the sale?"
Because they answer different questions. The proposal records what you offered on a given day. The sale's value records what you expect to close now. They start the same and then move independently, which is what lets you negotiate without rewriting history.
"Can one sale have several activities on it?"
Yes, as many as you like. All of them appear on its timeline in date order.
"Can one activity be on several sales?"
No. An activity belongs to one sale at a time. Move it if it is on the wrong one.
"I detached an activity by mistake. Is it gone?"
No. It is exactly where it was, on its contact, its company and the Deal Pipeline. Open it and choose the sale again.
"Why can I not promote this one?"
Either it is already attached to a different sale, in which case detach it first, or it has already been promoted, in which case the button takes you to the sale it made.
